Do you have a question about the ESMO 2022 General Assembly?

The Executive Board unanimously agreed to hold the General Assembly without the physical presence of Members and with Members’ rights exercised exclusively electronically via the ESMO website, in accordance with the ESMO Bylaws Art. 12 Para. 5.   The Executive Board took this decision in view of the uncertainty about the ability for members to participate in the ESMO Congress in person, and due to travel and quarantine restrictions remaining in force in some countries.

All supporting documents are saved in the myESMO area of esmo.org under the tab “Governance”.

As a rule, you can vote if:

  • You were a member on 1 January 2022
  • Your membership fee is paid
  • You are not a student member

Full Members with membership fee paid (i.e. not a suspended member due to non-payment of the membership fee pursuant to Art. 8 Para. 2 of the Bylaws) for at least one day between the opening and closing date of the electronic voting period (26 September 2022 to 10 October 2022) AND who were a member (Full Member, including those with membership rights suspended due to non-payment of their membership fee or Student Member, see below) as of 1 January 2022.

You may therefore vote if you:

  • were a Full Member as of 1 January 2022 and your membership fee is paid at least for one day between 26 September and 10 October 2022;
  • were a Full Member who was suspended (pursuant to Art. 8 Para. 2 of the Bylaws) as of 1 January 2022 and you subsequently paid your membership fee before the closing date of the electronic voting period (i.e. before 12:00 (noon) Central European Summer Time (CEST) 10 October 2022);
  • were a Student Member as of 1 January 2022 and you subsequently became a Full Member (with membership fee fully paid) prior to the closing date of the electronic voting period, i.e. before 12:00 (noon) Central European Summer Time (CEST) 10 October 2022)

  • Medical and Basic Science Students with ESMO Student membership are not eligible to vote (Art. 6 Para 1. of the Bylaws).
  • ESMO Full Members who have newly joined the Society since the 2 January 2022;
  • ESMO Full Members who were suspended members on the 1 January 2022 or became suspended members from the 2 January 2022 onwards, and have not paid the membership fee in full and within six months of its due date and prior to the closing date of the electronic voting period, i.e. 12:00 (noon) Central European Summer Time (CEST) 10 October 2022.

Voting is carried out via the online electronic voting system within the myESMO area of the ESMO website. To cast your vote, you should click here to log in to your myESMO area and go to the “Voting System” tab, click on “Vote Now”.

Once you have submitted your vote you cannot change your votes or come back to the system. 

The Electronic Ballot Vote will open on Monday 26 September at 12:00 (noon) CEST and close at 12:00 (noon) CEST Monday 10 October 2022.

Yes, all votes are anonymous and it is not possible to detect how members vote. We do however track who has voted or not, to ensure that only one vote is cast per member.

The General Assembly called within twenty days of the meeting date is quorate irrespective of the number of Full Members who participate by casting their vote (Art. 16 of the Bylaws).

For motions to pass there needs to be more “Yes” than “No” votes cast, abstentions are not counted.

Members should cast a vote for each item.  Abstentions will not be counted.

If you select to abstain from voting on an agenda item, your vote will not be counted.

Results of the vote will be communicated within five business days after the ESMO 2022 Ordinary General Assembly has taken place on 11 October 2022.
